Understanding Catering Options with Harvest Table Catering (Aramark)
- Harvest Table Catering (Aramark) is Wake Forest University's caterer. When creating or editing a booking, complete the questions in “Other Information.”
- Use the “Harvest Table Catering” section on the Services tab to indicate your needs. This does not commit you to a specific order but triggers Aramark to reach out to discuss your needs.

- Select your catering needs.
- Selection automatically notifies Aramark/Harvest Table to initiate your order.
- Aramark/Harvest Table will contact the reservation’s 1st Contact to finalize the catering order.
Note: Catering requests via DeaconSpace must be placed by 1 pm 4 days prior to the event.

Setup Notes: Enter specific instructions or special requests, including room layout and furniture needs.

Unlock Exterior Doors: If non-WFU guests are attending, note the times and the doors that need to be unlocked.

Usage of Specific Spaces
- 251 B – Be aware of noise levels
- Student Study Rooms use:
- Class breakout sessions
- Exam make-ups
- Pop-up reminders are available for specific spaces
FYI's
- Reminders for upcoming reservations are sent 7 days before the reservation date to the reservation creator and 1st Contact.
- Cannot change another person’s reservation.
- 20-minute timeout after no DeaconSpace activity.
Best Practices
- Reservations on behalf of others should list the other person as the 1st Contact.
- Be sure to add and/or confirm details for upcoming reservations, including services.
- Book multiple spaces under 1 reservation.
- Cancel unneeded reservations to free space.
Create Bookings under 1 Reservation
- Log in to DeaconSpace.
- Click My Events.
- Click the name of the reservation that needs an additional booking.
- Click the New Booking button on the top left of the reservation.
- Complete the Reservation form and select the available room or facility that best fits the event.
The selected room has now been added to the reservation for easier tracking and editing.

Editing Reservations & Amenities
- Log in to DeaconSpace.
- Click My Events.
- Click the gold Pencil button by the booking to change the date, time, or room.
- To change, add, or cancel amenities or AV Technology, click Add Services under Reservation Tasks.
- Select the services/amenities that need to be added, changed, or canceled.
- Review the services/amenities request and click Next Step/Add Services.
- If the reservation has more than one booking, the following page allows you to select the desired booking to change.

View Services or Manage Services under the specific booking.
Canceling Reservations and Services
- Log in to DeaconSpace.
- Click My Events.
- Click the name of the reservation that needs to be canceled.
- Choose the appropriate cancellation option:
- To cancel the entire reservation, click Cancel Reservation under Reservation Tasks.
- To cancel a booking within a reservation, click the red minus button beside the booking.
OR
- Click the Cancel Bookings link above the bookings list, select the booking to cancel, and click the Cancel Selected Bookings button.
Please cancel booked rooms that have been reserved but will not be used.
